Scheduling Manager

We are seeking a highly organised and detail-oriented Scheduling Manager to oversee the scheduling of all incoming training requests for our field-based trainers across the UK.

This key role involves coordinating and assigning training requests to the appropriate trainers, ensuring all client requirements are met efficiently.

The ideal candidate will use our CRM system to review and allocate training sessions, with a strong focus on minimising travel and mileage through effective route planning.

A solid understanding of geographical areas and route optimisation is essential for success in this role.

Key Duties

  • Overall management of the schedules for our field-based trainers, including continual review to ensure route optimisation at all times
  • Maintain regular communication with field-based trainers to ensure smooth scheduling
  • Liaise with clients to offer and follow up on training dates
  • Research overseas travel requirements, including flight options and travel times to support overseas client bookings
  • Resolve any scheduling conflicts promptly and efficiently, ensuring minimal disruption to clients and trainers
  • Analyse trends and optimise scheduling – use historical data and trends to predict busy periods and adjust scheduling practices accordingly, improving efficiency
  • Maintain and update the CRM system to ensure accuracy at all times
  • Provide administrative support as required by the business
  • Collaborate with other teams – work closely with internal teams to support alignment between training schedules and business objectives

 

Education & Experience Requirements:

  • A confident, motivated team player with strong problem-solving abilities
  • Ability to work efficiently under pressure and adapt to a fast-paced, dynamic environment
  • An enthusiastic, proactive attitude with a willingness to learn new skills and processes
  • Exceptional attention to detail and organisational skills
  • Excellent verbal and written communication skills
  • Previous experience in logistics, scheduling, and route planning is highly desirable
  • Proficient in Microsoft Word, Outlook, and Excel.
  • Experience with Microsoft Dynamics (CRM) is a plus.
